Scheduling

How can I schedule an appointment?

Click here to schedule an appointment. To ensure that your appointment is confirmed, please complete Step 2 (online forms) & Step 3 ($20 convenience fee payment) prior to your scheduled appointment. Appointments without all steps complete may be cancelled.

How long are appointments?

Please allow approximately 1 hour for your Virtudent visit, although most appointments take 45 minutes.

How much does an appointment cost?

The initial cost due for your Virtudent visit is the $20 convenience fee. If you have dental insurance, we will bill them directly for services rendered. For dental plans that we are in network with, we will accept their payment for services rendered. If we are out of network with your carrier, we will balance bill you for services that insurance does not cover. Virtudent also offers a special rate of $150 to self-pay patients and optional services (i.e. fluoride) that can be paid through our patient portal.

I’m having problems with the booking portal, what should I do?

Some browsers load our secure HIPAA compliant portal slower than others and may need an extra moment to load. If you’re experiencing difficulties or have additional questions, you can email info@myvirtudent.com with your name, company, and prefered appointment time and a member of our team can help to schedule your appointment.

How can I reschedule or cancel my appointment?

Please contact Virtudent 48 hours prior to your reserved time to cancel or reschedule without penalty by emailing info@myvirtudent.com or by calling (877)487-4295.

How do I access the patient portal?

My company doesn’t offer Virtudent, but I’d like you to visit my office. What should I do?

What is included in a Virtudent appointment?

A standard Virtudent appointment includes a complete oral health exam and cleaning; Previser™ assessment to determine your oral health and risk level for oral cancer, cavities, and gum disease; oral x-rays, and intraoral photographs. Additional optional services are available, such as fluoride treatment.

 

Our hygienists go through a rigorous screening before joining our world-class team to ensure every patient receives top quality of care. They are trained by leaders in the dental field, and have decades of combined experience.

 

Our dentists are award-winning and represent institutions such as Harvard University, Columbia University – College of Dental Medicine, Tufts School of Dental Medicine, University of Pennsylvania, and more. Can Virudent provide the same standard of quality as a traditional dental office?

Our mobile pop-up clinic is equipped with state-of-the-art technology that surpasses in quality what you would normally find at a typical brick-and-mortar dental office. Our kits are specially designed for Virtudent by experts that have worked for NASA.

What if I need additional dental treatment (e.g., filling)?

After reviewing your case, your dentist may determine that additional treatment is necessary and submit a referral. A member of our team will work with you to find a trusted local dentist that is in-network with your insurance to ensure proper continuation of care, and all your Virtudent dental records will be available to your selected provider.

How long does it take to receive a diagnosis from the dentist?

After a dentist has reviewed your files, you will receive a secure email within a week of your visit with a diagnosis and next steps. Within that secure email you will find your complete exam results. Should you have any questions or concerns regarding your diagnosis or next steps, please do not hesitate to contact us at info@myvirtudent.com.

Insurance

What dental insurances do you accept?

We are currently in-network with Aetna, Altus, Blue Cross Blue Shield, Cigna, Delta Dental, Guardian, and MetLife. If you have questions regarding your eligibility you can contact our insurance specialist at info@myvirtudent.com.

What if my insurance is out of network?

If we are out of network with your insurance carrier, we will balance bill you for services that insurance does not cover. Virtudent also offers a special rate of $150 to self-pay patients.

What do I need to bring with me to my appointment?

Please bring your insurance card, ID, and a credit/debit card to your appointment. Prior to the exam, please fill out the online medical forms to tell us about your dental history.

How much time is required to set up visits?

Setting up a Virtudent visit is easy! Simply schedule a call with our team to answer your questions and select visit dates. Next, you’ll reserve a conference room for your selected visit days, and lastly forward our provided announcement email to your employees so they can easily sign up online. We handle the rest!

 

You’ll have a dedicated Client Success Manager who will be your go-to resource to ensure visits go smoothly and are easy for you! We also handle all insurance billing, making Virtudent one of the easiest employee benefits to bring into your workplace.

How expensive is Virtudent to employers?

Virtudent is a no-cost benefit for employers. That means we come setup in your office free of charge!

How can I be sure Virtudent offers high quality dental care?

Is there a minimum amount of employees we need for Virtudent to come on site?

Typically we find greatest employee engagement at office locations with greater than 50 employees. 

Appointments

How long are appointments?

Employees should block 1 hour for their Virtudent appointment.

How do our employees sign up for appointments?

We’ll send you a ready-made announcement email to forward to employees with a signup link. Alternatively, employees can easily book an appointment from our website.

How much do employees pay for appointments?

If an employee’s insurance is in-network, their appointment will simply consist of a $20 convenience fee. If their insurance is out-of-network, a flat fee of $150 will be assessed. Additional optional services are available should an employee opt-in (e.g. fluoride treatment).

How do employees get further treatment if it’s necessary?

After reviewing a patient’s case, their dentist may determine that additional treatment is necessary and will submit a referral. A member of our team will work with the patient to help find a trusted local dentist that is in-network with their insurance, and all Virtudent dental records will be available to the patients selected provider to ensure proper continuation of care.

Logistics

Our conference rooms have glass walls. Is that an issue?

Not at all! Our kits come complete with privacy screens to ensure patients feel relaxed and comfortable even in glass conference rooms.

How do you ensure our conference room remains sanitary?

Our state-of-the-art kits are self-contained, meaning no material leaves the kit while in your conference room. It is policy that our hygienists leave your office exactly as it was prior to our visits, and wipe down all surfaces.

Does Virtudent have liability insurance?

Yes, we have liability insurance while onsite at your company. We provide each client with a Certificate of Insurance prior to scheduled visits.

How do you ensure patient privacy?

All patient related data is captured, transferred, and stored via a 3rd party cloud based medical record software that is fully HIPAA compliant and secure.  More information on the vendor we use can be found here. Additionally, all Virtudent employees receive annual HIPAA training and certifications to ensure absolute privacy.
